The Black Car Fund is a not-for-profit organization that provides workers’ compensation insurance, safety education and related benefits to drivers who operate in the state of New York and are affiliated with transportation companies who are The Fund’s Member Bases.

Along with our Office Administration Team, the successful candidate will be responsible for completing daily office administration tasks, answering customer service phone calls, handling inventory, and providing support to the Human Resources Director/Office Manager.
*This is a full-time in-office position.
* *COMMON EXPECTATIONS* *Knowledge of:* Relevant office assisting and administrative work.
Detail to customer service etiquette.
Basic principles and procedures of organizational skills, stocking, and management of inventory.
Standard office procedures and methods including computer equipment and supporting applications, and excellent writing skills.
*Ability to:* Greet guests, manage phone calls, stock shelves maintain an inventory list, respond to email requests, administrative tasks, and assist in-office events and projects in a precise and professional manner.
*PRIMARY RESPONSIBILITIES* * Greeting guests and employees in person and/or on the phone * Screening calls, filing, copy/faxing, sending out mailings, as needed * Entering visitors/vendors into a computerized building security program * Sorting mail/other materials and facilitating, as necessary * Creating digital inventory logs, guides, memos, and maintaining checklists * Scanning necessary documents, creating spreadsheets, and assisting in maintaining chain of custody check processes * Maintaining Member Base logs, data and records, to ensure Member Base information is current * Editing and/or preparing materials for internal and external distribution * Assisting with various office administration tasks, and hr support as needed * Ensuring reception area, conference rooms, café and other guest spaces are clean and presentable * Assisting the Office Administrative Team with managing inventory/ordering/stocking supplies for café, meeting room(s) and Mail/Copy room.
* Assisting with setting up and breaking down conference rooms for events and meetings · All other duties assigned * Performing ad hoc projects, as needed *WORK ENVIRONMENT* * Maintain a healthy/positive working relationship with supervision, management within a diverse organizational team environment, and clientele · Understanding that this position will be dealing with confidential information.
* Participate in company-provided training and events *Cognitive:* * Clear and conceptual thinking ability; excellent judgment, troubleshooting/problem-solving, analysis, and discretion; ability to handle work-related stress; ability to handle multiple priorities simultaneously; ability to communicate matters of concern effectively; and meet deadlines; ability to be proactive and forecast new approaches to enhance departmental needs *Physical:* * Computer, keyboarding, managing files, stocking inventory, mailings, handling deliveries, lifting.
