The NYC Department of Design and Construction, Division of Infrastructure, seeks an Administrative Liaison to support the Office of Administrative Services.
The selected candidate will be responsible for but not limited to review employees’ monthly personal expense reimbursement requests for accuracy and submit it to the Finance and Procurement Division for approval, maintain a log and update employees’ file, and follow up to ensure employees received their reimbursements in a timely manner; pick-up and distribute paychecks, pay-stubs, reimbursement checks, MetroCards and health insurance forms.
The Administrative Liaison will also serve as back-up to the Administrative Liaison (Purchasing, Technology and Innovation, and Fleet), responsibilities include coordinating the Division’s on-boarding of new and internal hires, this includes, but is not limited to creating tickets in Track-It with assigned workstation and other necessary information related to Technology and innovation, and work with an T&I’s Technician to ensure proper PC and monitors and desk phone are at location and set up according to the Systems Access Request (SAR) prior to the start date of the new hire; review and submit driver’s vehicle request and renewals for commuting and parking permits and maintain the Division’s driver’s file; reviewing and submitting requests for business card, wireless devices, surface pros/laptops, and Personal Protective Equipment (PPE); following-up with Operation’s Facilities team on maintenance of workstations for new hires, and relocations of employees; and updating and maintaining the Division’s Management Services electronic files.
In addition, the selected candidate will provide maintenance to all copiers and printers for the Division at 30-30 Thomson Ave.
, this includes order and replacement of ink cartridges, order and refills paper, report and coordinate printers and copiers maintenance; assist the DAO, Senior Administrative Liaisons, and the Technology and Innovation and Operations Liaison on the distribution of goods and other materials to employees when needed; and will assist the Office of Administrative Services in providing back-up support in the absence of the Deputy Commissioner’s Executive Assistant.
Authorization to work in the United States is required for this position.
