Our client, a higher education institution located on the Upper West Side, Manhattan, is seeking a Temporary Department Administrator to support their English department.
This position will start ASAP and last for approximately 3 months with flexibility to extend.
This person will be in the office 5 days/week.
Hours are Monday-Friday, 9:00am to 5:00pm with an hour unpaid break.
Responsibilities: * Reconcile the budget and expense reports; assist the Chair in short-term projecting and long-term planning of department expenditures.
* Manage the department offices and space.
* Supervise department academic purchases and deliveries, standing purchase orders, and service contracts for major equipment.
Coordinate with the Chair and full time faculty on purchases.
* Coordinate with the chair to oversee and report on the academic budget and end-of-year spending from the department operating accounts * Maintain the department records and files in paper and digital form.
* In consultation with Chair, coordinate office use and office hours of adjunct faculty and graduate assistants * Prepare materials related to the employment and review of instructional staff including: * Completion of faculty one-time payments and period activity pay, and ensure proper processing * Preparation of proposals and dossiers for faculty tenure, promotion and reviews * Departmental searches, including communication with applicants and scheduling job talks and campus visits * Maintain up-to-date curriculum vitae * Coordinate with Departmental Assistant for Film Studies * Responsible for creating and preserving orderly student procedures and records.
* Act as a resource for students regarding the technical aspects of pre-registration, registration, enrollment, advising, and nonacademic activities of the department.
* Work with Registrar and Provost's Office on course planning, website, etc.
* Be familiar with the undergraduate curriculum, requirements, and practices.
* Advertise, hire, and help guide students assistants doing administrative work * Assist Chair in planning and preparing program planning meetings * Coordinate collection and distribution of thesis proposals * Responsible for the management of department events.
* Arrange for transportation and accommodation for guest lecturers, faculty and artists.
* Maintain general English and FYW listserv, majors listserv, and alumni listserv * Act as liaison with other College and University-wide offices.
Qualifications: * 3+ years experience in an administrative role preferably out of education * Degree required * Excellent verbal and written communication skills * Experience using Microsoft Office Suite Programs * Workday experience a plus * Good judgement and ability to deal calmly and efficiently with people * Ability to maintain discretion and confidentiality * Ability to function efficiently in busy office environment * Experience processing invoices preferred Compensation: * DOE up to $25/hr Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
