Our client, a life science venture capital firm, is seeking a Temporary to Permanent Executive Assistant / Office Manager to support the team in their NYC office.
Hours are 8:30am-5:30pm with flexibility for OT.
This role will be in office 2-3 days per week with the rest work from home.
Must be flexible to come in additional days as needed.
Responsibilities: * Day-to-day upkeep of the physical office space (especially the kitchen and conference rooms) * Assist with complex calendar management, scheduling and setting up meetings for 2 of the firm partners * Assist with travel coordination including international and domestic travel, private and commercial flights including coordinating Visa's, ground transportation, and detailed itineraries * Source vendors, manage expensing and invoicing, and oversee repairs/maintenance * Oversee and fill in for reception as needed, greet visitors, and field phone calls * Plan and coordinate events and lunches for employees and external stakeholders both on and offsite, including negotiating contracts * Managing expenses and completing expense reports * Assist the Senior EA to the Founder and Managing Partner with calendar management, scheduling, and travel as needed.
* Ad hoc projects Qualifications: * 3+ years of relevant support experience * Bachelor's Degree required * Excellent written and verbal communication skills * Extreme attention to detail and solid organization skills with the ability to prioritize time-sensitive tasks * Exhibits sound judgment and discretion * Experience in organizing, coordinating and managing complex details under time pressure * Ability to work independently, quickly, efficiently, and can follow instructions while taking ownership and remaining flexible to shifting priorities * Proficiency with Microsoft products including Word, Excel, Outlook, PowerPoint Compensation/Benefits: * Up to $85-100K DOE plus discretionary bonus * Fully covered benefits * 401K, commuter benefits ($280) * 15 days paid time off plus holidays Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
