Our client, a leading law firm in downtown NYC, is looking for a TTP Internal Events & Conference Services Assistant / Coordinator.
There is a flexible hybrid schedule and 35 guaranteed working hours a week.
Looking for someone to start ASAP.
Responsibilities: EVENTS * Collaborates with the US Events team on the planning and execution of both large and small events including site selection, contract negotiation, menu selection, design of invitation, RSVPs, list management, onsite staffing, transportation and follow-up; * Uses project management skills and tools, such as timelines, budget worksheets, agendas and event schedules, to define and communicate event parameters and ensure that defined procedures are implemented to ensure flawless execution; * Provides ongoing support including drafting of event communications, organizing data, files, and materials, compiling information, preparing routine and ad-hoc reports, and responding to requests for assistance; * Acts as Salesforce expert and works with US Events team to ensure Salesforce data is complete and accurate; * Researches site venues and vendors, makes in-person connections, maintains venue/vendor files and contact details; * Generates and assigns event related materials such as name tags, place cards, menus and other event materials; and * Performs other duties as assigned.
CONFERENCE SERVICES * Reserves conference rooms and spaces and coordinate all associated services and needs (e.
g.
, food/beverage, audiovisual, facilities, signage, materials, security, floorplans and secretarial services); * Communicates directly with clients before, during and after their events, maintaining a Provides on-site support, including creating name tags and table tents; copying and printing; coat check; setting out materials and signage; greeting, directing and escorting clients; * Assists with directing clients to the coat room, training/breakout rooms, pantry areas, the Conference Center, Business Center, Cafeteria, phone booths, their hotel or area restaurants, etc.
; * Delivers emergency messages immediately to partners and clients in meetings; * Answers client questions concerning conference space, set-up, AV equipment, and Conference Center capabilities; and * Performs other duties as assigned.
Qualifications: * Bachelor's degree required; * At least one year of event planning or related experience.
Corporate or legal experience a plus; * Highly proficient in Microsoft office applications; * Excellent communication, both verbal and written skills; * Strong organizational, project and time management skills; * Knowledge of NY, DC and SF venues and vendors preferred; * Ability to work effectively with lawyers, staff and vendors of all levels to implement successful events; * Creativity, flexibility, adaptability, excellent teamwork skills and an ability to work cross-functionally; * Ability to work independently, meet multiple deadlines, multi-task while working on competing priorities, and respond well to change; * Ability to maintain confidentiality; * Must maintain a professional demeanor; * Availability to work overtime including evenings and weekends, and travel out of state for extended periods of time, as needed.
